# Organizing your chats

As you work with Tim, your list of chats grows. This page shows you how to keep it tidy: create and name chats, pin the ones you return to, group related chats into folders, and find any chat fast. It also explains who can see your chats (just you) and how a chat stays in sync across your own tabs and devices.

## Where your chats live

Your conversations with Tim appear in the **Chats** section of the left sidebar. Each entry is one conversation. Above the list you'll find a **New folder** button and a **search** (magnifying glass) icon.

The list is organized top to bottom:

1. **Pinned** chats (if you have any)
2. **Folders**
3. Loose, unfiled chats (your recents)

The list loads more chats automatically as you scroll. Some rows carry a small icon so you can spot them at a glance:

* A **WhatsApp** icon marks the conversation that mirrors your WhatsApp thread with Tim.
* A **clock** icon marks a chat created by a **scheduled** Agent run; a **robot** icon marks a chat from a **manual** Agent run.

Chats belong to the **workspace** (company) you're in. When you switch workspaces using the company switcher, you'll see that workspace's separate set of chats and folders. Chats don't move between workspaces.

## Start a new chat

## Click New chat

Use the **New chat** button at the top of the Chats area. This opens a fresh, empty conversation with Tim.

## Type or dictate your first message

Start the conversation. A chat is also created automatically the first time you send a message, so you can simply begin typing.

## Let Tim name it

The title is auto-generated from your conversation. Until it has one, the chat shows as **Untitled conversation** / **New chat**. You can rename it any time.

You can also start a chat **inside a folder** from that folder's page. The chat is filed into the folder immediately, and Tim uses the folder's knowledge and instructions as context. See [Files, uploads, and voice](/chatting-with-tim/files-and-voice.md) for how to attach documents to a message.

## Rename a chat

Hover over a chat row and open its **"..."** (more) menu, then choose **Rename**. The title turns into an editable field. Press **Enter** to save, **Esc** to cancel; clicking away also saves. Renaming is instant.

## Pin and unpin a chat

To keep a chat at the top of the list, open its **"..."** menu and choose **Pin chat**. To remove it from the top, choose **Unpin chat**.

Pinned chats appear in a dedicated **Pinned** group at the very top of the Chats list, separated by a divider and marked with a small pin icon. The most recently pinned chat appears first.

## Delete a chat

Open the chat's **"..."** menu and choose **Delete**. Deletion happens immediately. If you're viewing the chat you delete, you're returned to the chat home.

Deleting a chat removes the whole conversation and all its messages, and it cannot be undone.

## Organize chats into folders

Folders are personal containers for grouping related chats. They also double as a per-topic knowledge base: attach reference files to a folder and Tim treats them as the primary source whenever you chat inside it.

### Create a folder

## Open the Create folder dialog

Click the **New folder** button (folder-plus icon) at the top of the Chats area.

## Name it and pick a color

Enter a **Folder name** (required). Optionally choose a **Color** from the palette (Default, Blue, Emerald, Teal, Violet, Pink, Amber, Orange, Red). The color tints the folder icon so folders are easy to scan.

## Click Create

The folder appears in your sidebar, ready to hold chats.

### Move a chat into a folder

From a chat's **"..."** menu, choose **Move to folder**, then pick the destination from the submenu. The folder auto-expands so you can see the chat land there.

* If the chat is already in a folder, the submenu also offers **Move to root** to put it back in the loose list.
* If you haven't created any folders yet, the submenu shows **No folders**.

### Browse a folder

In the sidebar, click a folder's **icon** to expand or collapse it in place and reveal the chats nested underneath. Click the folder's **name** to open its full **folder page**, which shows:

* The folder name, its colored icon, a **Settings** gear, and a **files badge** with the count if any files are attached.
* A **chat input box** at the top to start a brand-new chat inside this folder. You can attach files from your computer or import from Google Drive into that message.
* A **list of the conversations** already in the folder, newest activity first, each with its title and a relative timestamp.

### Folder settings: rename, recolor, instructions, files

Open a folder's **"..."** menu and choose **Settings** (or click the gear on the folder page). The Folder settings dialog lets you:

* **Folder name** - edit and save.
* **Color** - change the swatch; saved immediately.
* **Instructions** - free text describing how Tim should handle this folder's topic.
* **Files** - attach reference documents via **Upload** (from your computer) or **Import from Drive** (Google Drive). Supported types are PDF, Word (.doc/.docx), Excel (.xls/.xlsx), CSV, and plain text (.txt). Each file shows **Embedding...** and then **Embedded** once it's processed; only embedded files are fully usable. You can delete individual files.

Folder **instructions** are contextual guidance only. They shape how Tim answers within the folder, but they do **not** override Tim's core behavior, safety rules, or the standard approval-before-writing flow. See [Approval flows explained](/chatting-with-tim/approval-flows.md).

When you chat inside a folder that has files, Tim automatically treats those files as the main knowledge source, searches them on every question, and cites the file name when relevant. That's what turns a folder into a topic-specific knowledge base.

### Rename or delete a folder

* **Rename** a folder from the Settings dialog's name field or from the folder's **"..."** menu.
* **Delete** a folder from its **"..."** menu (or **Delete folder** in Settings). You'll be asked to confirm.

Deleting a folder does **not** delete the chats inside it. Those conversations are moved back to the root (loose) list. The folder's attached files, however, belong to the folder and are removed with it.

Folders sort automatically by most recent chat activity, so the folder with the most recently active conversation floats to the top.

## Search your chats

There are two ways to find a chat:

1. **Global search** - click the **search** (magnifying glass) icon at the top of the Chats area, or press **Cmd/Ctrl + K** anywhere. A centered search box opens. As you type, matching chats appear under a **Chats** heading; pick one to jump straight to it.
2. **In-list search** - the search field in the chat list panel filters the visible list as you type.

**Search matches the chat title, not the messages inside it.** Global search is built for quickly jumping to a chat, so it returns a small number of top matches, and folders are shown as a flat list of results while you're searching. To search the contents of documents you've added to a folder, chat inside that folder and ask Tim.

## Your chats stay in sync

If you have the **same chat open in more than one tab or on more than one device**, new messages, yours and Tim's replies, appear everywhere automatically, so your views stay consistent.

If you **navigate away while Tim is still working** on a long, multi-step answer and then return, the in-progress run picks up live, you see the activity, the steps, and the streaming answer continue to completion.

## Who can see your chats?

Your chats and folders are **private to you** within your workspace. No teammate can view, edit, or be invited into a chat or folder, and there are no viewer or editor roles for chats. Pinning, folders, and renaming only ever affect your own view.
